Obsidian vs Notion for managing clients
Notion fits better if you share your workspace with clients or a team online. Obsidian fits better if you want your data on your own computer, offline, with no subscription.

The 30-second summary
Both tools can track clients, projects and tasks, with table and Kanban views. They differ on where the data lives, what your clients can see and what you pay. The table compares ten criteria, using the prices published on the ObsidianA free note-taking app for Windows, Mac, Linux, iPhone and Android. Your notes stay as Markdown files on your own computer. Brievora is a vault, a folder of notes and views that you open in Obsidian.obsidian.md and Notion websites in October 2026.

Data and offline work
In Obsidian, a client record is a .md file in a folder on your computer. Obsidian opens it with no connection, and you back up that folder with the tools you already use. If you sync with Obsidian Sync, the data is end-to-end encrypted.
In Notion, the workspace lives on Notion’s servers. Offline mode arrived in August 2025, with the limits listed in Notion’s help center:
- it works in the desktop and mobile apps, not in the browser;
- each page is downloaded separately, on each device, and its subpages don’t follow;
- for a database, only the first 50 rows of the first view are downloaded;
- on paid plans, recent pages and favorites download automatically.
On a train or at a client’s office with no Wi-Fi, a Notion project page you downloaded the day before will open, but a database of 80 tasks shows only 50 unless you downloaded the rest one by one. In Obsidian, the whole vaultIn Obsidian, a vault is a folder on your computer that Obsidian opens: your notes, their attachments and your settings. Brievora is a ready-made vault.help.obsidian.md is on your disk.
If a contract asks where you store the client’s documents, the answer differs too: your computer and the sync service you picked with Obsidian, Notion’s servers with Notion.
Three-year cost
Each tool has a free plan that covers a solo freelancer. Notion Free has no block limit for one person but limits blocks once there are two members; page history lasts 7 days and each uploaded file is capped at 5 MB. Obsidian is free with no limits, work use included. Only the official sync service costs money, and iCloud or Syncthing can replace it for free.
| Situation | Obsidian | Notion |
|---|---|---|
| Solo freelancer, one computer | $0 | $0 (Free) |
| Solo freelancer, computer and phone | $0 with iCloud, $144 with Obsidian Sync | $0 (Free) or $360 (Plus) |
| Three-person studio | $432 (Obsidian Sync for each member) | $1,080 (Plus) or $2,160 (Business) |
The figures use the monthly price on yearly billing, times 36 months, in US dollars, from obsidian.md/pricing and notion.com/pricing in October 2026. Billed monthly, Notion Plus goes up to $12 and Business to $24 per member, and Obsidian Sync to $5.
Sharing with clients
In Notion, the Share button invites a client by email address. You decide whether they can view, comment on or edit the page. The Free plan allows 10 guests, paid plans have no limit, and the client needs a Notion account. You can also publish a page to the web so anyone with the link can read it (Notion help).
Obsidian has no client access. A vault opens in the Obsidian app, not in a browser. To show a client where the project stands, you have three options:
- export the note with the Export to PDF command and send it;
- publish selected notes with Obsidian Publish, at $8 a month per site billed yearly, with a password if needed;
- keep tracking in Obsidian and send the client a progress update by email.
Either way, the brief has to come from the client. The free client brief generator drafts the email with the questions, then turns the answers into a MarkdownA plain-text format: a # makes a heading, asterisks make text bold. Any text editor opens these files, with or without Obsidian.markdownguide.org note or a PDF.
Bases vs Notion databases
In Notion, a database holds its records: a task is a row in the Tasks database and lives inside it. In Obsidian, a base is a view laid over notes stored anywhere in the vault. The same task note can appear in the list of all tasks, on its project’s note and on the weekly dashboard.
Notion goes further in two areas. Its calendar and timeline views have no counterpart in BasesThe database feature built into Obsidian: tables, cards and Kanban boards made from the properties of your notes. No plugin to install.help.obsidian.md. Its relations and rollups can show the total of linked invoices on a client page in a few clicks; in Obsidian you need an embedded base with a filter and a summary.
Here is a base to paste into a base code block on an Obsidian project note. It shows that project’s tasks as a Kanban board, by status:
filters:
and:
- 'type == "task"'
- project == this
views:
- type: kanban
name: Project tasks
groupBy:
property: note.status
direction: ASC
groupOrder:
- to do
- in progress
- doneThe word this means the note that contains the base, so the same view pasted on another project note shows that project’s tasks. The Obsidian Bases tutorial covers filters, formulas and views in detail.
To move from Notion to Obsidian, Importer, the official plugin from the Obsidian team, connects to your Notion workspace and turns databases into .base files. It only brings over the main view of each database, and importing from an exported .zip file doesn’t keep databases at all (Obsidian help).
Which tool for which freelancer
Solo freelancer
Obsidian, unless your clients need to look at your pages. You keep your files, work offline and pay nothing, or $4 a month for official sync. The guide to getting started with Obsidian covers installation and first settings.
Studio of two to ten people
Notion, if the team writes in the same pages and talks through comments. Obsidian with Obsidian Sync, if each person runs their own projects and the vault is the shared reference: the bill is lower, but changes arrive through sync, with no comments or mentions.
Client who wants to follow the project
Notion. A page shared as view-only, with the schedule and deliverables, answers the client’s questions without another email. With Obsidian, plan on a PDF or an email update every week.
If you choose Obsidian, the guide to client projects in Obsidian lays out the note structure, and the comparison on our pricing page also covers client management apps and spreadsheets.
Questions
Can I use Obsidian and Notion together?
Yes, for example Notion for the pages a client looks at and Obsidian for your own notes and internal tracking. Expect to enter twice anything that has to appear in both.
Is there a web version of Obsidian?
No. Obsidian is an app for Windows, macOS, Linux, iPhone and Android. To make notes readable in a browser, you publish them with Obsidian Publish.
Can I leave Notion without losing my data?
Yes. Notion exports pages to Markdown and CSV, HTML or PDF, and the General section of its settings offers an export of the whole workspace.
Can Obsidian or Notion replace invoicing software?
No. Both can track invoices with properties (amount, due date, paid or not), but neither sends them or collects payment. They sit next to your invoicing tool.
